Contract Cleaning Specifications

Cleaning at Berwick Residential

For some years now, MRS has outsourced the cleaning of its residential buildings to external contractors. The decision to outsource cleaning was taken after an exhaustive cost benefit analysis which determined there were numerous benefits [financial and operational] achieved by outsourcing.

MRS is committed to improving both the transparency of decision making and to provide greater information in respect to operational matters. It is important that residents fully understand the level and frequency of cleaning that occurs at their respective residential site. The level and frequency for a particular site is for the most part determined by; cost, need, type of accommodation - dormitory style or self contained unit style, open access communal kitchens, bathrooms and toilets verses limited access facilities such as those contained in a unit/flat.

The following cleaning responsibilities list has been developed to:

  1. give a broad overview of the level and frequency of cleaning that has been specified in the respective residential site cleaning contracts, and
  2. inform residents as to what cleaning has not been included in the respective residential site cleaning contracts, and
  3. inform residents what cleaning they are responsible for (for ease of use, this has been written in blue ink).

Each of the respective MRS residential sites have developed Key Performance Indicators (KPI's) to ensure that externally sourced cleaning is maintained at a set standard. Residents should familiarise themselves with the cleaning specifications as outlined below. Please advise (email is best) the Berwick Residential Manager, if you believe the cleaning specifications as outlined below are not being met at Berwick Residential.

Cleaning Frequency

The frequency of cleaning at Berwick Residential varies depending on where in Berwick Residential you live:

  • Hall of Residence Common areas are cleaned twice a week, with daily clearing of rubbish on the other three (3) days. Residents using this space are expected to clean up after themselves on a daily basis, after each meal.
  • Hall of Residence Apartments are cleaned once a fortnight. In between major cleans, the cleaners will visit once a week to clear rubbish.  The residents are expected to keep all common areas of the apartment clean on a daily basis.
  • North Flats are cleaned once a fortnight. In between major cleans, the cleaners visit once a week to clear rubbish.  The residents are expected to keep all common areas of the flat clean on a daily basis.

Residents Cleaning Responsibilities

  • Do not leave bottles, boxes, cans, pizza boxes, etc lying about. Place all rubbish in bins provided;
  • Wash all dishes and cooking equipment, after each meal;
  • Pack away the clean dishes and cooking equipment into the cupboards and drawers provided, after each meal;
  • Clean all kitchen surfaces including stove tops and inside microwaves and sweep floors, after each meal;
  • Clean up all food spills when they occur.
  • Empty the kitchen rubbish and recycling bins into the external commercial bins provided when full.

Contract Cleaner Duties (KPI's)

Halls, Apartments, Pavilion and Flats

3.1 Vacuum lounge area, internal stairways and/or passages.
3.2 Cleaning of external passage ways, stairwells and or paths.
3.3 Check fire extinguisher levels and report low levels.
3.4 Clean kitchens.

Apartments and Flats Only

3.5 Clean bathrooms, basins and all tiled areas, polish woodwork. Clean showers, walls and bases and floors to be washed. Clean toilets, bowls and pipes.

Flats Only

3.6 Clean laundries and check dryer filters and washing machines.
3.7 Clean BBQ area.
3.8 Clean out sand pots on verandahs.

Pavilion Only

3.9 Clean kitchen area, laundry, toilets, external BBQ area (including sand pots
3.10 Clean the main communal and foyer area weekly
3.11 Clean the Residential Office

Hall of Residence and Pavilion areas only; daily tasks - Tuesday to Friday

3.12 Areas included in daily cleaning tasks
  • All Kitchen areas within main Hall of Residence building (excluding Apartment kitchens).
  • All general communal spaces; i.e. dining/lounge areas with Hall of Residence; and
  • All communal spaces within Pavilion building.
  • Pavilion Laundry; including toilets.
3.13 Check all areas
  • Empty and wash out all rubbish bins, as needed. Clean any large or hazardous spills to ensure the hazard has been removed, as needed. Check that all lights are working; including kitchen rangehoods and report all faults to the office.
